Triad moves to e-voting for business items

Triad's first use of e-voting included the vote on the first quarter 2014 report (above).

Triad members cast 65 percent of their votes online in the first use of e-voting for business items.

Members used 107 paper and 202 online ballots to approve all four of the items Executive Administrator Dennis Roberts presented April 16 during the business meeting.

Members had from 8 p.m. Wednesday, April 16, until 11:59 p.m. Sunday, April 20, to access links provided in the Prayer, Praise and Information and other Triad emails and e-vote.

The final vote totals:

  • 99 percent approved the first quarter 2014 report
  • 96 percent approved adding Sharon Chandler to the Missions Ministry Team
  • 98 percent approved adding Miriam Redmon to the Missions Ministry Team
  • 95 percent approved $300 per month in short-term missions support to Tony Krofchik through April 2015 for work with Samaritan’s Purse to help New Jersey rebuild after Superstorm Sandy.

Roberts said the church plans to continue to use e-voting going forward, offering paper ballots at the Welcome Center and in the Connector for those who don’t have computers or who prefer paper ballots.

He said that declining business meeting attendance on Wednesday nights prompted Triad to explore a range of options to give more people the opportunity to vote.

“The motivation was to ensure a quorum (15 percent of eligible voters) during the Wednesday evening business meeting or following so that the votes would not need to be taken during a Sunday worship service,” Roberts said.

“We contacted several churches and many are already doing online voting or evaluating the process. Our Wednesday evening attendance (those staying for the business meeting after the service) had been dropping extremely close to the quorum even if everyone remaining voted.”

In addition to the paper savings, Roberts said that e-voting also makes voting more convenient for those who travel during the week for work, have small children, or don’t feel comfortable driving at night.Another benefit: Electronic voting checks for membership and age before the Nominating Committee receives and reviews the results. Twenty-four of the 226 e-votes cast were disqualified because of missing birthdates or age. Only members 16 and older can vote.

Once a member “registers” or votes, Roberts said, they can’t vote again because the system removes the link to the voting application. He said the easiest way to vote is to click on the link in Triad’s Prayer, Praise and Information emails.

Triad’s e-voting process uses the same MYTBC software powering the church’s financial management, attendance, and other systems.
